Paid and picked up are separate statuses: a winner can pay and collect later, or collect an item while a balance is unresolved.

The problem in practice
A winner is recorded and the item is treated as paid, or payment is complete but pickup is still outstanding.
Short answer
Record the winning bid, amount paid, payment status and pickup status independently. A partial payment should remain visible and should not be converted to “Paid” just because the item left the table.
How to judge and fix it
- Track winner, final bid, amount paid, outstanding balance and pickup separately.
- Keep partial/zero/unpaid visible; do not turn a blank into paid.
- Before closing, list unpaid balances and uncollected items separately.
A fictional example
For N31-004, set winning $45, paid $0, Unpaid, not picked up; confirm the summary shows an underpayment and does not count it as collected. Do not process card payments or issue tax receipts in this paper workflow.
Where the template fits: Paper only; no online bidding/payment/tax receipt. The related product/service page shows the fields; the step-by-step guide covers the workflow. The product does not replace your judgment or source documents.
